ZynCore (Pty) Ltd protects personal information in accordance with the Protection of Personal Information Act, 2013. This policy explains how information is handled across zyncore.co.za, ZIS, assessments, inspections, support and related services. GDPR provisions apply only where their territorial requirements are met.
1. Scope and processing roles
ZynCore is generally the responsible party for website enquiries, account administration, billing, security and its direct customer relationships. Where an insurer, broker, property manager, employer or enterprise customer supplies information and determines its purpose, ZynCore may process that information as an operator on that customer's documented instructions. The relevant commercial agreement may provide additional detail.
2. Information we collect
- Identity and account information: name, work email, telephone number, company, role, credentials and access permissions.
- Asset and site information: asset identity, site address, location, equipment, ownership and portfolio records.
- Self-assessment and assurance evidence: answers, documents, photographs, inspection records, maintenance history, findings, remediation evidence and review records.
- Telemetry and technical information: inverter, smart-meter, production, alarm, availability, weather-context and integration data where connected.
- Professional and stakeholder information: technician, engineer, EPC, O&M, broker, insurer and policyholder details relevant to an authorised workflow.
- Commercial information: subscriptions, invoices, transactions, orders and support communications. Payment-card details are processed by the payment provider and are not stored by ZynCore.
- Usage and security information: IP address, browser, device, session, audit events, activity logs and diagnostic information.
- Enquiries: information submitted through website forms or correspondence.
3. Where information comes from
Information may come directly from you, your organisation, an authorised customer or stakeholder, technicians and specialists, connected equipment and platforms, payment or communications providers, and lawful public or commercial sources. Where providing information is required to create an account or deliver a contracted service, failure to provide it may prevent ZynCore from supplying that function.
4. Purposes and lawful grounds
We use information to create and secure accounts, onboard customers, operate ZIS, conduct assessments, validate evidence, calculate and maintain ZAS outcomes, provide telemetry context, manage findings and remediation, deliver reports, process billing, support users, prevent misuse, meet legal duties and improve service reliability.
Depending on the context, processing is based on consent, performance of a contract, compliance with law, protection of legitimate interests, or the legitimate interests of ZynCore, its customers or affected stakeholders where those interests are not overridden by individual rights.
5. Risk analysis and human review
Insurers, owners and other customers remain responsible for their own underwriting, pricing, maintenance and asset decisions. ZynCore does not make insurance-coverage decisions on their behalf unless a separate lawful mandate expressly provides otherwise.
6. Sharing and service providers
Information is shared only where necessary with authorised customer users, assigned technicians, specialists or engineers, and vetted providers supporting hosting, security, telemetry integrations, payments, forms, email and communications. These parties are subject to contractual, confidentiality and data-protection requirements where applicable. Information may also be disclosed with authority, to protect lawful rights, or where required by law. ZynCore does not sell personal information or use it for third-party advertising.
7. Cross-border processing
Some providers or international engagements may involve processing outside South Africa. ZynCore will use contractual and other reasonable safeguards intended to provide protection comparable to POPIA, and will comply with applicable cross-border transfer requirements.
8. Security and incident response
ZynCore uses proportionate technical and organisational safeguards, including access controls, authentication, encryption in transit, logging, restricted permissions and reputable infrastructure. No system is completely secure. Where a security compromise involving personal information occurs, ZynCore will investigate, contain and notify the Information Regulator and affected data subjects where and as required by law.
9. Retention
Account and service information is retained while the relationship is active and thereafter only for contractual, audit, dispute, tax, regulatory, security or legitimate record-keeping purposes. Assurance records may need to be retained to preserve asset history and evidential integrity. Retention periods depend on the record, the agreement and legal requirements. Information is deleted, de-identified or securely archived when no longer reasonably required.
10. Your rights and complaints
Subject to POPIA and applicable limitations, you may request access, correction or deletion, object to certain processing, ask for information about recipients, or withdraw consent where consent is the basis. Requests may require identity verification. Contact the Information Officer at info@zyncore.co.za. You may also complain to the Information Regulator of South Africa.
11. Cookies, forms and communications
The website and ZIS use cookies or similar storage required for security, sessions and essential preferences. The website enquiry form is processed through Formspree. Additional analytics or optional cookies will be disclosed and managed through appropriate notice or consent controls before use. Marketing communications will provide a reasonable opt-out method.
12. Changes and contact details
Material changes will be communicated through the website, ZIS or email. The current version and effective date will remain published here.
